Order of Business
Once the Mayor calls the meeting to order, the following events take place in order as listed on the formal agenda drawn up by the City Clerk:
- Declaration of Pecuniary Interest, whereby a member of Council declares an interest pertaining to a particular topic found on the agenda. When a member declares an interest on any item, he/she is prohibited from discussing or voting on the item.
- Delegations speak to items that are listed on the agenda and are to be dealt with at the meeting.
- Consideration of past Council minutes for errors or omissions.
- Reports from the two (2) Standing Committees appear with the agenda for the meeting along with any other reports that are to be considered. Council can either adopt the recommendations as presented by the Standing Committees or make alternative recommendations.
- Communications are usually distributed to Council separately and may be raised individually at this point in the Agenda. Council members may ask questions on individual communications.
- New Business matters are introduced that are required to go directly to Council.
- Notice of Motions are given by individual Council Members. This means that Council members state that at the next Council meeting they will propose a motion on a particular subject. This provides an opportunity for other Council members to prepare comments on the proposed motion.
- Enactment of By-laws is the various readings of by-laws authorizing the City to take certain actions.
- Adjournment of Council is the final order of procedure for Council. This action ends the meeting.
